Candidus LLC ("we," "us," "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application, AeroKeep (the "App"), and this website. By accessing or using the App, you agree to the terms of this Privacy Policy. If you do not agree with the terms of this Privacy Policy, please do not use the App.

1. Information We Collect

AeroKeep works without an account. If you do not sign in, the information you enter stays in a database on your device and is not sent to us. If you sign in and subscribe to AeroKeep Premium, the information below is also stored in the cloud so it can be synchronized and backed up (see Section 3).

1.1 Account Information

  • Sign-in Details: When you sign in with Apple or Google, we receive a unique user identifier and, depending on what you choose to share with Apple or Google, your name and email address (which may be an Apple private relay address). We never receive or store your Apple or Google password.

1.2 Aircraft & Maintenance Information

  • Aircraft Details: such as tail number, make and model, and tachometer, Hobbs, airframe, and engine times.
  • Maintenance Data: recurring maintenance tasks, intervals, and descriptions; logs of completed maintenance (including dates, hours, and notes); and the names of the mechanics or shops you record as having performed the work.
  • Squawks: discrepancies and issues you record against an aircraft.

1.3 Pilot & Flight Information

  • Flight Logs: such as flight dates, aircraft, routes, flight times (e.g. PIC, cross-country, night, instrument), landings, approaches, and remarks.
  • Pilot Profile & Currency Events: information you enter to track pilot currency, which may include your date of birth, medical certificate class and exam dates, BasicMed exam and course dates, flight review and instrument proficiency check dates, and the name and certificate or license number of the physician, AME, CFI, or course provider involved.

Your date of birth and medical certificate information are used only to calculate currency and expiration dates for you. We do not use this information for advertising and do not share it with anyone except as described in Section 4.

1.4 Subscription Information

  • Purchase Records: If you subscribe to AeroKeep Premium, Apple or Google processes your payment. We receive and store the subscription details needed to verify and maintain your subscription, such as the product, transaction identifiers, purchase and expiry dates, and renewal status. We never receive your payment card details.

1.5 Device & Notification Information

  • Push Notifications: If you enable reminders, we store a push notification token for your device, the device platform, your time zone offset, and your notification preferences, so that we can send you maintenance and pilot currency alerts.
  • Usage and Diagnostic Information: such as your device type, operating system, app version, the screens you visit, and other usage data (see Section 6).

1.6 Cookies and Tracking Technologies

This website uses cookies and similar technologies, including Google tags, to measure visits and the effectiveness of our advertising. You can control the use of cookies through your browser settings.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the App, including calculating maintenance due dates and pilot currency.
  • Synchronize and back up your data across your devices (Premium).
  • Send maintenance, airworthiness, and pilot currency reminders you have enabled.
  • Verify purchases and manage your Premium subscription.
  • Understand how the App is used and improve it.
  • Respond to your support requests and send you information about the App.
  • Find and prevent fraud and abuse.
  • Comply with legal obligations.

We do not sell your personal information.

3. Cloud Sync, Reminders, and Firebase

For users who sign in and subscribe to AeroKeep Premium, we use Google Firebase services (Firebase Authentication, Cloud Firestore, Cloud Functions, and Firebase Cloud Messaging) to secure, back up, and synchronize your data across your devices.

  • Data Storage: Your aircraft, maintenance tasks and logs, squawks, flight logs, pilot profile, and currency events are stored in Cloud Firestore under your account.
  • Authentication: Firebase Authentication verifies your Apple or Google sign-in and restricts access to your synced data to your account.
  • Reminders: Our servers periodically review your synced maintenance and currency data to determine whether a reminder is due, and send it through Firebase Cloud Messaging (and Apple Push Notification service on Apple devices).
  • Local Mode: If you do not sign in, or do not have an active Premium subscription, your records are stored only on your device and are not synchronized to the cloud.

4. How We Share Your Information

We do not share your personal information with third parties except in the following circumstances:

  • Service Providers: We share information with providers that perform services on our behalf, such as Google (Firebase hosting, database, authentication, messaging, and analytics), and Apple and Google (sign-in, payments, and push notifications). These providers may use your information only to provide their services to us.
  • Business Transfers: If we are involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction. We will notify you before your information is transferred and becomes subject to a different privacy policy.
  • Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court or a government agency).

5. Data Storage, Security, and Retention

Cloud data is stored on Google's Firebase infrastructure and encrypted in transit and at rest. Local-only data remains on your device. We implement industry-standard security measures, but no method of electronic storage or transmission is 100% secure.

We keep your synced data for as long as your account exists. When you delete your account, we delete your synced aircraft, maintenance, flight, and pilot data and your sign-in account. We may retain subscription and transaction records for as long as needed for billing, tax, fraud prevention, and other legal purposes.

6. Use of Google Services

We use, or may use, Google Analytics (including Google Analytics for Firebase) to collect and analyze usage data to improve the App and this website. Google Analytics collects information such as how often users visit the App, what screens they visit, and other usage metrics. It does not receive the aircraft, maintenance, flight, or pilot records you enter.

7. Your Data Rights and Choices

Depending on your location, you may have the following rights regarding your personal information:

  • Access and Portability: You can export your data from the App at any time (Export/Import Data), or request a copy from us.
  • Correction: You can edit your records in the App, or ask us to correct inaccurate information.
  • Deletion: You can delete your data and your account in the App. See Deleting your account.
  • Restriction: You can request that we restrict the processing of your personal information.
  • Notifications: You can turn reminders off in the App or in your device settings.

8. Children's Privacy

The App is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last Updated" date. You are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page.
